Why it matters

A call is not an interruption in the workshop. It is an order that hasn't been written down yet.

The service desk is busiest at exactly the moment most people call: between eight and nine, when customers drop their cars off, and between four and six, when they come to collect them. The phone rings unanswered, or the service advisor cuts short the conversation with the customer standing in front of them. Both are expensive. Kinetara takes the part of the call the desk would otherwise do from memory: which vehicle it is, what the customer needs and when it suits them — written up in a form the advisor can confirm in half a minute.

Scenarios

Six everyday scenarios in a car service centre

    Booking after closing time

    Customers call when they decide to — usually in the evening or from the car. Kinetara records the vehicle, the work and the preferred week; the desk confirms the slot in the morning.

  2. 02

    Tyre season

    In October and April call volume doubles while the team stays the same. Kinetara says plainly that the season is full and still records the enquiry, instead of losing it to a busy tone.

  3. 03

    “Is my car ready yet?”

    These calls consume the most time and bring in the least. Kinetara explains that it has no view of the job card, records the query and passes it to the technician or advisor, who calls back with the answer.

    Breakdown and towing

    Kinetara first directs the caller to roadside assistance or 112, then captures only the name, number and location — and ends the call quickly. An emergency must not wait for a completed form.

    Buyers call when they see the advert, so in the evening. Kinetara records which vehicle and what the buyer wants to know, with no trade-in estimate and no price. The salesperson receives an enquiry with a name and a number.

    A cancelled slot nobody picks up stays empty. Kinetara logs the cancellation immediately, Saturday morning included, so the desk can offer the slot on.

The customer needs a minor service and a tyre change. Kinetara records the vehicle, the work and the week that suits, and says clearly that the desk confirms the slot. In the morning the record is first in line — and the customer is still yours.

A morning in tyre season

Who calls: a customer wanting a tyre change; three people are waiting at the counter.

The advisor doesn't pick up because they are handing over a car. Kinetara says the season is full and promises nothing, but records the enquiry. The workshop gets a list of people to call back when a slot opens up — instead of silence.

Objections

Three questions the solution has to survive

What if the customer is stranded on the road?

The agent treats it as urgent. It directs the caller to roadside assistance or 112, captures only the name, number and location, and ends the call. An urgent call is deliberately short.

What if the agent promises a slot that doesn't exist?

It doesn't. The agent has no view of the workshop schedule and doesn't hide that — it records the preferred period and says the desk will confirm. That is the only way the record stays trustworthy.

Will the customer be talking to a robot?

The agent introduces itself as a virtual assistant and answers the question honestly. The call is recorded, and the caller is told so at the start. In our experience what annoys customers is a phone nobody answers, not an assistant that listens and writes things down.
